Organisations, users and permissions
Structure organisations, invite users, assign roles and manage direct access.
Understand the hierarchy
All organisations belong to the platform hierarchy. A reseller organisation can manage child organisations within its quotas. Creating another root organisation is not offered.
Create a user
From Users or an organisation's details:
- choose Create user;
- enter identity and email;
- assign only the required roles and set the initial password;
- optionally add tags;
- open Profile preferences to customise the photo, language or time zone.
When creation starts from organisation details, cancelling or completing the journey returns to that organisation.
When editing an existing user, Change the password groups the two password fields. Leave them blank to retain the current password.
Find organisation options
Organisation identity, parent, direct access and billing contacts remain directly accessible. Appearance and language groups visual preferences; Reseller options and limits contains quotas and options for authorised administrators. Detailed rates and alert recipients have their own panels; balances and credit actions remain visible.
In branding settings, the domain, support, main logo and previews remain visible. Open the colour palette, Icon and dark theme logo, or White label and sign-in to customise the options you can access. Closing a panel changes neither its values nor permissions.
In Application background, choose a pattern and review both light and dark previews before saving. Each background covers the screen with one large continuous drawing, without small tile seams; its colours follow your branding and theme. Plain keeps a plain background.
For your own artwork, upload a Custom background image as PNG, JPEG or WebP, up to 10 MiB. The image must not exceed 8192 pixels per side or 8,388,608 pixels in total; resize larger photos before uploading. The local preview selects Custom image and shows light and dark versions without sending the file. The background covers the screen, so its edges may be cropped. Dark mode dims the image to keep the interface readable.
Use the single Save action at the top right to apply changes. The floating reminder appears after a change, including selecting a file. A new upload replaces the previous image and activates the custom background. You can then select an existing pattern and save to keep the image without displaying it. To delete it, check Remove the current background image and save; Contours replaces an active custom background. A rejected file displays an error while retaining the other entered values and previous files; reselect files after a form error if the browser has cleared them.
These settings remain restricted to authorised administrators of the relevant organisation and platform administrators. The image comes from a local upload; external URLs are not accepted. The public branding API enforces the same permissions, formats and limits.
Roles and scope
Roles determine available actions. The user's organisation defines the normal scope. A platform administrator can also add a user to Direct access for another organisation without changing their main organisation.
Tags
Start typing a tag. Existing tags are suggested immediately. If the label does not exist, a Create tag action appears after a short pause; Enter remains available to create it immediately when your permissions allow it.
Quotas
Authorised administrators can configure bot and child organisation quotas. 0 means that no specific limit is applied. When a quota is reached, creation journeys are disabled in the portal and rejected in the same way by the API.
Identify web subscriptions
The globe indicator in the organisation list and detail shows the assigned plan and its status in a tooltip: active (green), awaiting first payment (orange), suspended (red), ended (grey), or no web subscription. The existing calendar indicator remains specific to credit subscriptions.
Use Web subscription to filter by presence or status. With a web subscription includes pending, suspended and ended contracts; use Active for active contracts only. Search, other filters and reset continue to work within your existing organisation visibility scope.
The equivalent API filter is GET /api/v1/organisations?website_subscription=active, accepting any, none, pending, active, suspended, or ended. Omit it to show all. The existing website_subscription response is null without a contract and otherwise contains its status and terms. Unknown filter values return HTTP 400.
Using lists
Organisation, user and branding lists use the same frame. Search and the result count appear on the left of the table toolbar; page size, actions and column selection appear on the right on larger screens and rearrange on mobile. Common filters remain visible. Advanced filters provides additional criteria without clearing selections when closed.
In Organisations, Active is the initial archive filter and does not count as an added advanced filter. Archived and All remain available. Create a user and New organisation identify creation actions. The base role is displayed as User; this label grants no additional permissions. Organisation roles retain their labels and scope.
